POSITION SUMMARY

Koskie Minsky LLP is currently recruiting for a General Duties Clerk to join our Communications and Facilities Departments.  We are looking for someone who is energetic, responsive, adaptable and comfortable working in a professional environment. Previous office or administrative experience would be an asset.

POSITION SCOPE

The General Duties Clerk will provide support to the Communications Department with respect to oral and written communications, information management and other administrative responsibilities and general projects in connection with the administration of large-group legal matters.

The General Duties Clerk will also provide regular support to the Facilities Department with regard to mailroom, boardroom, library and kitchenette duties and other office tasks as assigned.

This position is a multi-faceted role that reports directly to the Manager of Communications with a dotted line reporting relationship to the Supervisor of Facilities.


POSITION RESPONSIBILITIES

  • Manage inquiries (calls/emails) received by routing them to the proper extensions or taking messages.
  • Liaise with external suppliers (printing company and couriers etc.).
  • Create, maintain and utilize large client databases containing sensitive client information.
  • Accept deliveries and manage incoming and outgoing mail.
  • Manage and assist with Conflict Checks.
  • Occasionally set up meeting rooms.
  • Maintain cleanliness of kitchens and boardrooms.
  • Manage and track guest lists and RSVPs for firm events.
  • Prepare and send letters, emails, and mass communications.
  • Assist with scanning, filing and data entry as requested.
  • Perform additional duties, as required.

REQUIRED SKILLS AND EXPERIENCE

  • Post secondary education.
  • 1-2 years' experience in a clerical/administrative or reception role required
  • Knowledge of litigation procedures and terminology preferred.
  • Customer service experience considered an asset.
  • Fluency in French an asset.
  • Proficient in MS Office (Outlook, Word and Excel).
  • Demonstrated track record of reliability and dependability
  • Superior communication and interpersonal skills.
  • Excellent attention to detail and organization skills.
  • Impeccable customer service skills.
  • Ability to multi-task in a busy work environment.
  • Strong proofreading and writing ability.
  • Ability to work with minimal supervision and direction.
  • Team player.
